Minutes from July 27, 2020 Board Meeting

Old business

Benches in memory of Ed Cacciapaglia

The benches and plaques are ready to be installed along the Bull Run Trail. Bob, Keith, and Sheila will visit the trail together on July 30 to determine exact placement and finalize installation instructions with NOVA Parks.

New business

Upcoming events

The Board and event RDs discussed the possibility of holding club events this fall in light of the ongoing COVID-19 pandemic. After discussion with the RDs for the Ring, Big Schloss 50k, and the PB&J 50k, Keith moved to cancel the Ring and Big Schloss in 2020 and to make a decision about PB&J 50k in early September. Bob seconded, and the motion passed unanimously by the Board.

The Board and event directors discussed how events might look once we are able to host them again. In consideration of the PB&J 50k, RD Sarah Curtis suggested limiting entry to about 50 people, limiting entry to current club members, and having a staggered start, among other precautions for mitigating risk at aid stations.

Trail work

Keith led a discussion about trail work in the Massanuttens. Because of COVID-19, the VHTRC work party did not happen this spring and much of the maintenance that is ordinarily done on those trails has not happened. The Board discussed organizing low-key work outings in September on the Kerns Mountain and Short Mountain sections of the Massanutten Trail and will create a sign-up sheet where members can volunteer to participate in social-distance trail work on those two trails in very small teams. Sheila and Keith will work on communicating these plans to the club and ensuring that trail safety requirements and paperwork are taken care of.

Transfer the email list from Yahoo to Google

The Board discussed moving the email list from Yahoo to Google. Tom volunteered to lead this effort and will investigate message moderation mechanisms in Google. When the time comes, Keith will coordinate with Anstr to shut down the Yahoo system. A September 1 timeframe was proposed to make the transition.
